DMP portal usage

This page describes how to access and use the IN2P3 DMP portal. It provides additional information on ways of accessing the portal, the profile of contributors, creating a DMP project, and monitoring its progress until completion.

Portal access

To access the DMP portal you will need to have a CC-IN2P3 user account:

  • if you already have a user account, please identify yourself with the SSO button: a “DMP account” will be provisioned automatically,

  • if you do not have a user account yet, please follow the steps to request an account to later identify yourself with the SSO button and provision your “DMP account”.

Attention

Authentication via Username and Password remains temporarily available to users who obtained a local account before July 2024.

To centralize your identities management and authenticate without a password later on, we suggest you “bind” your local DMP account to your CC-IN2P3 user account (ask for one if you don’t have one yet!) through the Account connections page available from your DMP portal page.

Please contact user support if you encounter any issue.

If you are invited to a project, the email notification will have a link to access to the portal and join the project. Access procedures will be the same as described above.

Create a DMP project

Anyone with access to the portal can create a DMP project.

The project is initialized by assigning a title: the collaboration’s name or the name of the collaboration’s project for which the DMP will be put in place.

Two other optional items of information can be supplied:

the DMP project description

This is information for the project owner and their collaborators. It will only appear on the project home page and will not be included in the DMP document.

the parent project

If it is necessary to manage a hierarchy of DMP projects.

Once the project is created, the Options section on the right-hand side of the project home page allows to access the form and manage the DMP project.

The project creator holds the role of Owner.

Collaborative invitation

The DMP project owner may send invitations to people they wish to contribute to the project.

This invitation is made from the project’s homepage, in the Members section. The button [+ Add member] allows to invite a collaborator to the project:

  • Using their email address

  • Using their login if they already have an account on the portal

When sending the invitation, the owner chooses the role they want to assign their collaborator.

Attention

If the email address is incorrect, the recipient does not receive the invitation, but will still appear as “invited” on the interface. We suggest the project owners to check their collaborators list and resend the invitation if necessary.

Once the collaborator accepts the invitation and activates their account on the DMP portal, they will then appear in the Members section with their assigned role.

Available roles

When sending the invitation, the project owner chooses the role they want to assign to each collaborator.

Owner

Can perform all possible operations on the project: read, modify, delete, export, import values, and invite others.

Manager

Can read, modify the content of the project, create snapshots, export the project, import values, and update project settings.

Author

Can modify the content of the project.

Guest

Can read the content of the project.

Tracking the project

The DMP project form can be completed over time according to the owners and their contributors’ preferences. The questions can be answered in any order, with no constraint. We only recommend to answer the essential questions to ensure a DMP covering the important points for a collaboration with CC-IN2P3.

Please do not hesitate to contact user support to resolve any issues you may encounter..

It is possible to save any intermediate state of a project using the [Create snapshot] option in the Options section on the right-hand side of the project home page.

Finalizing the project

Once the form is completed, the owner, in agreement with their collaboration contact, submits the DMP to the user support or to their privileged contact at CC-IN2P3.

The resulting DMP may be exported in PDF format or any other available formats in the Export section for distribution and sharing. The portal provides different display templates for the DMP. The available templates can be viewed on the project home page in the Views section.

Once accepted, the DMP is versioned and stored in CC-IN2P3. As a rule, you will be asked to review the document (or confirm it as it is) during the annual resources request.

Important

This document has no legal value: it is a reference document between CC-IN2P3 and the collaboration or the collaboration’s project concerning their data management in the near future.

Please note that the DMP is likely to evolve according to the collaboration’s needs. It remains available and editable at any time through the portal as per your convenience. As soon as a new version is ready, it is important to submit it again to CC-IN2P3 so that it can be taken into account.
